Qualifying MVR and Scheduling a Drug Test

To see the drivers who need to have their MVRs qualified and be scheduled for a drug test: 
  1. Go to the Schedule Drug Tests CRM view in the top left corner
     
  2. Scroll down to the Driver Funnel Section
  3. In the MVR File field, there should be a PDF  that you can click on. 

  4. Click the PDF to open it and see the driver's MVR. 
  5. Check that the license and medical certificate expiration dates are valid. 
  6. Check for any disqualifying violations or suspensions present on the record. 
  7. CURRENT DISQUALIFICATIONS
    1. In the last 12 months…

      1.     Two (2) or more moving violations

      In the last 36 months…

      2.     Two (2) accidents

      3.     Three (3) or more moving violations

      4.     Combination of one (1) at-fault accident and three (2) moving violations

      5.     Conviction of reckless driving

      6.     Conviction of a Cell phone traffic violation

      7.     Conviction of leaving the scene of an accident (Hit and Run)

      8.      Eight (8) points or more

      In the last 60 months…

      9.     License Suspension or Revocation

      10.  Misrepresentation to avoid arrest or obtain driver’s license

      11.  Illegal drug possession

      12.  Conviction of using vehicle to elude an officer

      13.  Revocation for any reason

      14.  Operating while license is revoked or suspended

      15.  Vehicle used in connection with a felony

      16.  Other serious violations (e.g. speeding of 15 mph over the speed limit, unsafe lane change)

  • If the MVR passes, change the Drug Test Results? field to Order Made -- Waiting for Results AND change the MVR Review field right above it to whatever the MVR was (Clean MVR, 1 violation, 2 violation, etc.). This is important because it helps the system estimate the tier the driver should be. 
  • After updating the Drug Test Results? field to Order Made -- Waiting for Results, the PPS Order ID field should populate within a few seconds. If a value populates that field, that means that the drug test was successfully created in the PPS platform. If a value does not populate that field, please see the troubleshooting section below.

  • If the MVR does not pass, scroll to the top of the page, select Accidents, violations, or suspensions present on driving record in the Driver DNQ Reason field. Then change the Lead Status to Driver Not Qualified. This alerts the driver with an email and text saying they don't qualify. Refund the driver in stripe if they did not qualify. You can find their transaction by copying the Zapier Stripe Integration field value and pasting it in the stripe search box.


    TROUBLESHOOTING
    MVR Not Populated 
          • All states except for CA will have MVRs that populate immediately. If the state is in CA, give it 24 hours and check back to qualify the MVR. You can login to the Supervision portal and search the driver's license number to ensure that there is a pending order for it. 
          • If there is no MVR populated in the MVR File field when there should be, check that the First Name, Last Name, Birthday, DL Number, and SSN fields are all entered and correct. Click the Pull MVR checkbox field to re-trigger the function that pulls the mvr. Give it a couple seconds and then refresh the page. If there is no MVR, you will need to get the MVR directly from the Supervision portal. 
          • To get an MVR from the Supervision portal, login at https://my.esupervision.com/default.aspx
          • Go to the Drivers section
          • You should be able to simply search the driver's license number in the search box to have their profile come up. If not, you'll have to click the green plus icon in the top right corner and enter in the info yourself: 
          • When in the driver's profile, click Order Reports, and then press View on the MVR that comes up after a couple moments once it's Fulfilled status. You can save the PDF that comes up and put that MVR PDF into the MVR File field in the CRM.



    Driver doesn't know PPS Registration Number
          • The driver's are emailed the PPS registration number once the test is created, and then again in the followup emails that happen in the days afterwards. The reg# is also in the CRM in the PPS Registration Number field. 





    PPS Order Not Creating
    The following fields are used for the PPS Order creation function along with the requirements of the fields in order for the function to go through. Once any errors have been fixed, click the Create PPS Order checkbox field to retry creating the order. Look at the PPS Order ID field to see if it populates. 
          • Company. AKA the first name for the driver. No spaces allowed currently, so if the name is Juan Carlos, it must be changed to JuanCarlos.
          • Last Name. No spaces allowed currently, so if the name is Juan Carlos, it must be changed to JuanCarlos.
          • Birthday. Cannot be a future day or within 18 years. Must be 
          • Street. No special characters and must start with a number.
          • City. No special characters or numbers. 
          • State Initials. Cannot be empty, must be two letter abbreviation.
          • Zip Code. Must be 5 numbers. 
          • Email. Valid email address.
          • SSN. Must be 9 digits. No Dashes allowed. ######### format instead of ###-##-####.
          • Mobile. (###) ###-#### format. pluses and 1s in the front may cause an error.


    Lead profile is marked as Carrier and not Driver

          • If the profile is marked as a carrier and not a driver, simply click on the 3 dots icon in the top right corner
          • Go to Run Macro
          • Select the Change from Carrier to Driver Lead macro
          • The profile should automatically update now. Proceed as your normally would with the profile.





  • Lead Status is Review Double Registration
    This Lead Status means that the driver filled out the CDL upload form again after being told they did not qualify. 
          • Go to the Attachments section
          • Click the PDFs for the CDLMVRDrugTestIsolated.pdf forms to see where the driver changed their answer
          • If they paid, the MVR should be populated in their profile. Review it and process accordingly. If it passes, change the Lead Status to blank and create the drug test order. 
          • If the driver lied about their years of experience, change the Lead Status to Driver Not Qualified


    Lead Status is Review Previous Disqualification
    This Lead Status means that the driver had previously applied before but was disqualified. You should be able to see the reason in the Notes or in the Driver DNQ Reason field.
          • Check their last DQ date and make sure it has been at least 90 days. 
          • Process their MVR as usual. If it has been 90 days and the MVR passes, create the drug test order and change the Lead Status to blank.
